Manager's New Hire Resources

Congratulations on bringing new talent to your team!

This page lists tasks or processes that need to be completed before a new employee can access systems and other information vital to their positions. This information is to assist managers and departments to transition new employees and/or new appointments into their new positions. We encourage you to refer new hires to the New Hire Resources page for tools, resources and information.

To assist managers and departments in gaining campus services for new employees, review the New Employee Resources/Systems Access Checklist. This checklist is not intended to be a complete listing of necessary onboarding information. Expand section below to learn more.

New Employee Orientation - `Runner Starting Line

`Runner Starting Line

We are excited to introduce `Runner Starting Line, a monthly orientation for newly hired staff and MPP employees designed to help them get started. New employees will receive a calendar invitation in their email within a month of their start date. Feel free to review the slides from the orientation below, if you like to learn more.

In addition, your new employee will be invited to attend a meeting with a Benefits Specialist through Zoom. For more details, visit Benefits.

Please ensure that your new employee is available to attend the entire duration of the orientation.

In addition to the New Employee Orientation, our onboarding program includes two essential online modules that are automatically assigned to all new hires through CSU Learn:

Module 1: `Runner Starting Line: Get Set for Your CSUB Career
Due within the first 7 days of employment, this introductory module is designed to help new employees begin their CSUB journey on the right foot. It covers our history, organizational structure, and the CSU system. Key topics include accessibility, diversity, equity, and inclusion, as well as an overview of benefits, payroll, and essential policies to ensure success.

Module 2: `Runner Starting Line: Get Set for Your CSUB Career
Due within the first 60 days of employment, this module is aimed at helping new hires further integrate into their role at CSUB. It offers an in-depth exploration of the CSUB community, the intricacies of working in higher education, and the career development resources available. The module also provides additional tools and resources to enrich the employee experience at CSUB.

Visit the page below to submit ITS and Facilities requests as you prepare for your new hire's first day. Please note that some items require additional time to complete. To avoid delays, please submit your requests as soon as possible.

MPP New Hire Resources

Primary Access and Account Information

NETID (MYID) ACCOUNT

Your CSUB NetID is the first part of your email before the "@" sign. For example:

If your email is: rrunner5@csub.edu...

Then, your CSUB NetID is: rrunner5

New employees who do not have an existing account with CSUB will receive an email with information on how to claim their new account. Employees with a prior relationship with CSUB and an existing account can work with their department to get the information needed to reset their existing account password.

Employees can also use NetID Account Lookup instructions to reclaim their account and set up their password in MyID.

VOICEMAIL, PHONE AND EMAIL ASSISTANCE

Call Help Desk to reset voicemail, update the online directory and/or other technology assistance at ext. 4357 or visit ITS Help Desk.

OFFICE 365 ONLINE PORTAL

Visit Office 365 to log in.

RUNNERCARD AND EACCOUNT

All CSUB community members are issued a RunnerCard, or campus identification card. RunnerCard is essential for many services across campus. Each RunnerCard is tied to an eAccount, which can be used like a debit card to purchase food at all on-campus dining locations. It can also be used as a key/proxy card for access to buildings and offices. Keys and card access for Faculty, Staff, and Students can be requested by submitting a Key Request Form to University Police. 

The Runner ID card office is located at ITS Service Center in Lower Level of the Walter Stiern Library in Lab A.

These forms must be signed by a Dean or a Department Head prior to the issuance of keys or granting of access.

KEY REQUEST

University keys and access to buildings using a RunnerCard are issued and maintained by the University Police Department. Keys and card access for Faculty, Staff, and Students can be requested on a Key Request Form.

BOX FOLDER ACCESS

For Box access, new employees would need to sign in for the first time at Box. The appropriate folder manager within Box would be able to invite them to any relevant folders. For access to confidential L1 folders, open a ticket using the ITS Help Desk.

ATTENDANCE AND ABSENCE REPORTING

Inform the new employee that each month they will need to report absences or "no leave taken" online using the campus Absence Management Self Service system. This system is used in lieu of timesheets (with some exceptions). For assistance in learning how to enter absences online, visit the Time and Attendance page. Discuss any department procedures around requesting leave.

Other Account Access and Forms (Needed for Some Positions)

MYHR ACCESS REQUEST FORM (ABSENCE MANAGEMENT, TIME & LABOR SYSTEM)

This will only be required if the new hire has Absence Management and/or Time Labor administrative responsibilities. AM and TL self-service access is automatically granted based on HR job code classification.

MYHR STUDENT ADMINISTRATION ACCESS REQUEST FORMS

Standard faculty access to student information is automatically granted upon starting date of the faculty appointment. There is no need for faculty to submit this form for standard faculty access.

COMMON FINANCE SYSTEM (CFS) AND PROCARD ACCESS

This will only be required if the new hire has the need to access department budget information or ProCard user. Visit Common Financial System (CFS) page for more information.

ProCard Users

ProCard users will also be required to submit PeopleSoft Finance Request Form to report ProCard usage.

This portal affords faculty and staff the opportunity to purchase goods to support their academic and operational needs. All purchases made must be consistent with CSU policy, the Procurement Card manual and hospitality guidelines.

Policies and Forms when Driving on University Business

New Hire Training

All CSUB employees are required to complete training as required by law, CSU, or campus policies. Most of these trainings are web-based and can be completed at an employee's workstation. Employees will be automatically enrolled in online training during their first month of employment. Managers are responsible for the completion of all compliance training and should be prepared to schedule 6+ hours and a location for the employee to complete their online training. Please ask the employee to go to CSU Learn and login to complete training.
