Student Frequently Asked Questions

WHAT DOES IT MEAN WHEN I RECEIVE A NOTICE OF CONFERENCE LETTER FROM THE DEAN OF STUDENTS?

The Dean of Students received an incident report that indicates you have allegedly violated the Student Conduct Code and you are scheduled to meet with one of our Student Conduct Officers. We strongly recommend you attend the scheduled conference or contact our office immediately if you cannot attend the conference at (661) 654-2680 or deanofstudents@csub.edu.

WHAT HAPPENS AT A STUDENT CONFERENCE?

The purpose of this meeting is to provide you an opportunity to discuss the incident with our office. You have the opportunity to share any and all information about this situation. Ideally, the student should be honest and forthcoming regarding the alleged incident. We expect full cooperation from a student(s) to resolve the matter.

AM I ALLOWED TO BRING ANYONE WITH ME TO MY CONFERENCE MEETING?

You have the right bring a person of your choice to advise and support you during the conference meeting. This person would be considered your advisor. The role of your advisor is to provide support/advice and not to speak on your behalf. Your advisor cannot be an attorney as our campus policy excludes attorneys from student disciplinary proceedings except in limited circumstances that may not apply. The policy, however, does not preclude you from consulting an attorney if deemed appropriate.   Notify our office within five working days prior to your hearing if you will be accompanied by an advisor. Please be advised exclusions or provisions may apply for the use of advisors, please call our office for more information at (661) 654-2680 or deanofstudents@csub.edu. 

WHAT HAPPENS IF I DO NOT SHOW UP FOR MY CONFERENCE?

As a result, a judicial/administrative hold will be placed on your academic record for failing to appear for a scheduled conference which will prohibit you from any course registration and release of academic records and/or official transcripts. 

If you fail to appear for your conference, call our office immediately to reschedule your conference at (661) 654-2680 or deanofstudents@csub.edu. 

WHAT IF I DO NOT COMPLETE AN ASSIGNED DISCIPLINARY SANCTION?

We understand that life happens. Therefore, if you did not complete your assigned disciplinary sanction, you should contact our office immediately at (661) 654-2680 or deanofstudents@csub.edu. 

Otherwise, our office will place an judicial/administrative hold on your academic record for failing to complete your assigned sanction including charging you with another violation to the Student Conduct Code for failure to comply with the sanction(s) imposed under a student discipline proceeding. 

Furthermore, we will make every attempt to contact you via your student email account(s) and telephone if you have not satisfied/completed your assigned disciplinary sanction. 

HOW DO I REQUEST TO VIEW MY DISCIPLINARY RECORD?

To view your disciplinary record, if any, to prepare for a scheduled student disciplinary conference and/or  a hearing, contact the Dean of Students office at (661) 654-2680 or by email to deanofstudents.edu.

Please provide your Student ID number, full name, the best contact information, include on the subject line of the email "Request to view disciplinary record" and the reason for your request in the body of the email. 

We will respond to your email to schedule a mutually convenient day and time. 

HOW DO I REQUEST A GOOD STANDING LETTER?

To request a good standing letter or a disciplinary background check by an agency, institution, or military branch, please submit your request and documentation (if any) by email to deanofstudents.edu. 

Please provide your Student ID number (if known) or full name including maiden name (if your name changed since you last attended), the best contact information, include on the subject line of the email "Good Standing Letter" or "Disciplinary Background Check", forms or documents from the agency, institution, or military (if any) and reason for your request in the body of the email. 

Please note: To release your disciplinary record information, please complete the DOS FERPA Form and attach the signed document to your email. This form is required.
