Smart Mailer
If you have a bulkmailing and your mailing list is on a PC disc, then you should contact Mail Services about using the Pitney Bowes SmarMailer system.
The SmartMail program can utilize your mailing list database and do the following:
  1. Print the barcode and address directly on the mail piece, eliminating the need for labels.
  2. Extend current Zip Codes to Zip+4 Codes
  3. Verify addresses against the WSPS National Address Database
  4. Delete duplicate addresses By processing your mailing database through the SmartMail system you can reduce postage costs and receive faster delivery of your mailing.
T he system operates by accessing your database information and verifying it against the National Address Database. The SmartMail system will flag incomplete/incorrect addresses minimizing undeliverable mail. The system also automatically adds the Zip+4 code so that a delivery point bar code will be printed on the mail piece along with the address.
Mail Piece Specifications: Size requirements: at least 3 up to 13x15* 2.Thickness: no more than 0.125 3.DO NOT USE glossy or coated paper.
Database Specifications:
  1. Database must be saved on a PC compatible disk
  2. The database must be saved in one of the following formats:
    1. Excel (Versions 2.0; 3.0; 4.0 or 5.0)
    2. Lotus (Versions 1.0; 2.0; 3.0)
    3. Symphony (Versions 1.0; 2.0; 3.0)
    4. DBF file type (FoxPro, D Base, Paradox, Access)
    5. ASCII fixed length with or without line feed
    6. ASCII comma delimited
    7. ASCII tab delimited
F ield names must be identified and column widths identified Examples of required fields and column widths are:
  • Field Name= Name or Company Name and Column Width= 30
  • Street= (Street name & number) and Column Width= 40
  • City= City name and Column Width= 30
  • State abbreviation= Two letter abbreviation and Column Width= 2
  • Zip code= 5 digit number and Column width= 5
Smart Mailer ¹ 95 will assign:
Zip+4, DPBC (Delivery Point Bar Code), CRRT (Carrier Route) ERROR CODE (Addresses that failed to postal code) Additional Field Name¹s and Column Widths may be added. (contact Mail Services at x2297 for more information)
The SmartMail program generates a report for the Postal Department detailing the number of pieces and zip codes of your entire mailing. You can expect to save an average of @.03 cents per piece by having your mailing automated.  Each department would have to figure on the amount of time they would save on mail preparation. (Your disc may be sent as an attachment with e-mail)
