Each
year the Office of Financial Aid & Scholarships identifies a set of
goals and objectives to accomplish in an effort to assess and improve
services provided to students. The goals and objectives for the 2000-01
academic year include the following:
Goal
1: Implement SCT Imaging 3.1.1, which is a computer software application
specifically designed to meet the imaging, document management, and
document workflow requirements of higher education. Closely integrated
with the SCT administrative systems, SCT imaging provides scanning
and storing of the full spectrum of documents a Office of Financial Aid & Scholarships
requires to facilitate the financial aid application and delivery
process for students.
Objective
1: The first step to implement SCT Imaging is to model office processes.
This will require studying the flow of documents used in the office.
The recommended approach to achieving this objective involves defining
current office processes, installing SCT Imaging, modeling current
document flow processes, and prototyping streamlined document workflow.
In order to accomplish the modeling of office processes, an SCT
Imaging Administrator will need to be identified, a project team
established to determine the best document workflow, the current
office document flow analyzed, and documents identified that are
candidates for SCT Imaging.
Objective
2: After the project team has developed a prototype of document
workflow, the prototype must be validated. The project team will
meet with office staff to approve the document flow and to specify
what documents will be imaged at the designated office workstation.
After the prototype has been tested, refined, and validated, the
project team and the office staff will begin planning full imaging
implementation, including end-user training.
Objective
3: Once the prototype has been validated, SCT Imaging can be fully
implemented in the office. This will involve the training of end-users
by SCT functional consultants and members of the office project
team. The project team will also develop a plan for continuous improvement
in the use of imaging technology.
Goal
2: Using the current edition of the National Association of Student
Financial Aid Administrators (NASFAA) Self-Evaluation Guide, undertake
and successfully complete a self-evaluation of the effectiveness of
the administration by the office of the federal Title IV student financial
aid programs.
Objective
1: Review and complete Part 1 (Institutional Responsibilities) which
deals with institutional policies and procedures, personnel and
inter-office communication, student consumer information, recommended
good practices, and statement of ethical principles.
Objective
2: Review and complete Part 2 (Administration of Federal Programs)
which pertains to Title IV General Provisions, Federal Pell Grant
program, Campus-based programs common provisions, Federal Perkins
Loan program, Federal Work-study program, Federal Supplemental Educational
Opportunity Grant program, William D. Ford Federal Direct Loan program,
and Bureau of Indian Affairs.
Objective
3: Review and complete Part 3 (Administration of Financial Aid:
Fiscal Office) which concerns general fiscal information, drawing
down funds, and cash management.
Objective
4: Review and complete Part 4 (Appendices Title IV General Provisions)
which deals with document control.
