Hiring Student Assistants and Work Study Students
The Career Development Center partners with academic departments and the Financial Aid Office to facilitate
the hiring of student assistants and work study students.
The application and hiring process is outlined below including a list of frequently asked questions. Please
review the information and if you have any questions or need assistance; please communicate with our student

Posting Student Assistant Jobs
- To initiate a position posting with the CDC, departments complete
Form 101, the Student Assistant Position Available Form.
- Submit the completed Form 101 to the Career Development Center (CDC) by faxing the document to 654-3345. Form 101 triggers the CDC to advertise the job by posting the opportunity on our career management system,
RunnerLink.
- The CDC sends the hiring department a Form 105 via email. Form 105 is the Student Assistant Referral/Hiring Form.
- A student is offered employment by the department and the department informs the CDC of the hire via email to Melanie Butler at
mbutler@csub.edu to initiate removal of the position posting.
- The department completes the Form 105 and the hired student delivers the form, along with the student's social security card and a picture ID, to the Payroll Office.
Additional Notes:
- Form 105 - From must be signed by department head or person responsible for expending funds from funding account. Peoplesoft Funding Information blanks must have Stateside numbers or indicate Foundation account number.
- Undergraduate students must be enrolled in at least 8 units; graduate students must be enrolled in at least 4 graduate-level units. (See also: Hiring an International Student; unit requirements are different.)

Work Study Hiring Process
- The hiring department prints a Form 102 - Work Study Hiring Form (from the CDC web site: This form asks for a job description including qualifications, pay rate, start and end date, duties, and application procedures (phone, apply in person, email resume, etc.)
- The hiring department completes and faxes the Form 102 to the CDC, and keeps the original copy.
- The CDC e-mails a confirmation to the department, along with the Rights and Responsibilities of hiring Federal Work Study (FWS) Students information sheet.
- The CDC posts the job on RunnerLink and in the CDC office for students to view.
- A Financial Aid Award letter is sent to the student indicating their Work-Study award. The student is advised to search RunnerLink for job listings under "On-Campus/work study."
- The student makes an appointment to see the Federal Work Study Coordinator to obtain a Form 104 -Work Study Hiring Form (that will indicate the amount of award for the hiring department). (This also allows the Coordinator an opportunity to speak with the student about their interests and the positions advertised, as well as about the America Reads and America Counts tutoring programs and other community service opportunities).
- The student schedules an interview for the job(s) by interacting directly with department.
- The hiring department decides who to hire, and completes the Form 104 - Work Study Hiring Form Section B for the student. (The hiring department must provide the signature of the supervisor and the Department Head/Designee authorized to expend funds, and should maintain a copy for their records)
- The student returns the Form 104 to the Federal Work Study Coordinator for signature in Section A. (This allows the Coordinator the ability to track the placements, and notify CDC via email, at mbutler@csub.edu, to remove the job posting from RunnerLink.)
- The student takes Form 104 to Payroll for final signature, and to complete their payroll documents.
- The student arranges their work schedule with the department and begins work.
- The student follows the new PeopleSoft Student Employee Self-Service Payroll procedures for reporting their Time and Labor (T&L) no later than the 2nd day of each month.
- The hiring department follows the new PeopleSoft Student Employee Self-Service Payroll procedures for MPP certification of student Time and Labor (T&L) no later than the 5th day of each month.
- The hiring department and the student are both responsible for ensuring that the student does not earn more than their Work-Study award amount for the academic year. If the student has exhausted their earnings, the department may complete a Form 117- Student Assistant Transaction form to transfer the student's payroll to departmental Student Assistant funds so the student may continue to work.
For RENEWAL Work-Study placements:
If you employed Federal Work-Study student(s) in your department last academic year, and would like to
renew the same student(s) for the 2007-08 academic year, please forward their name(s), campus ID(s) and when
the student will begin work (must be after July 1) to our FWS Coordinator, Kristie Luna, as soon as possible.
She will generate a Form 104 -Work Study Hiring Form, and forward it to you to complete. She will do her best
to accommodate as many requests as possible based on our available funding.
