Voice Mail FAQs III
Q: After listening to a message, the new system asks if I want to discard, replay or save the message; the old system used to also offer review the message again. If this a lost feature?
A: The new voice mail system does not prompt a review of new messages; however, to review press 6.
Note: Do you have a flow chart? The flow chart shows all the different actions you may take while listening to a message. The prompts just do not state all of them. (A copy of the flow chart is attached to this newsletter).
(To download the attachment, click on the file icon to the right of the word "Attachments:" above. This is a PageMaker 6.5 document; the application is on the Server Disk. After downloading to your desktop, be sure you have your Server Disk open, and click on the file icon twice to open the document in PageMaker. If you have problems saving this attachment, please call Melanie at x2115.)
Q: I will be out of the office for the day. How do I change my personal greeting?
A: After you have dialed 3300, and entered your security code, you may Press 3 for Phone Manager, Press 1 for Personal Options, and then Press 3 to record a new Personal Greeting. The system will play your current recording. After you Press 2, to specify that you want to make a new recording, the system will prompt you to Press 2 to start recording. Press 2 again to stop recording. Then Press 5 to save the recording.
Note: As a courtesy to the caller, it is always a good idea to change your personal greeting to reflect whether you will be calling them back shortly or if you will be out on vacation, jury duty, ill, etc. Is there another number or person they can call? Remember you can always access voice mail from any touch tone phone. You do not need to be at your desk to change your greeting.
Q: Is there any way I can avoid listening to the greeting, when trying to leave a message?
A: You may Press 1 to begin recording immediately, without listening to the personal greeting.
Note: You may want to listen to enough of the greeting to know
for sure the person is not on vacation, out ill, or other extended leave.
