Voice Mail FAQs VIII
Q: I would like to send a message to a number of people. Is there
some way I can do this through the voice mail system rather than calling
each person?
A: When you go into your voice mailbox, press 2 to record and send messages. The system will ask you to "enter the mailbox number of the person to whom your message should be sent." Enter the four-digit extension number of one of the people you wish to send your message. You will be prompted to press 2 to start recording and to press 2 to stop recording. Press 2. Record your message and then press 2 to finish. You may then press 6 to review what you have recorded and/or press 5 to send the message. The message will be sent. If you want to send this message to someone else, press 1. Enter the next mailbox number. The system will tell you the name of the person for the mailbox you just entered. If correct, press 5, if not press 9. When you press 5, the message will be sent. When you press 9, you will be prompted to enter the mailbox number. To continue adding more mailbox numbers, follow the prompts.
Q: I have a committee, which I always need to send messages. Rather than entering each mailbox number, is there a simpler way to send messages to the same group of people?
A: As with the old voice mail system, you may use a distribution
list to send messages to a group of people. You will need to call the Telecommunication
Office to obtain a four-digit number for each distribution list you need.
Once you have set up the distribution list, it will only be necessary to
go into your mailbox, press 2 to record and send a message. Then enter
the four-digit number of the distribution list, when the system asks you
to "enter the mailbox number of the person to whom your message should
be sent." Continue by following the prompts.
Q: You said something about setting up the distribution list. How do I do this?
A: After you get a four-digit number for a distribution list
from the Telecommunication Office, you will need to go into your voice
mailbox. Press 3 to access Phone Manager. Press 2 for Messaging Options.
Press 3 to change a personal distribution list. The system will ask you
for the number of the distribution list that you would like to change.
Enter the four-digit number you received from Telecommunications. The system
will ask you for the mailbox number that you wish to add or remove. Enter
the mailbox number. The voice mail system will ask you for confirmation
of the number you just entered. After you press 1 to confirm, continue
as before to add/remove the mailboxes you wish to have on your distribution
list.
