How To Use Outlook to Archvie email (PCs Only)

Deleting Mail in FirstClass
The Export Method
Configure Outlook For FirstClass
Use Outlook to Archvie email
Summarize Selected Messages

Pros for Using a POP3 Client:

  • copies complete email including attachment(s)
  • retains all information (time stamp, headers, ect.
  • fast once outlook is set up
  • Cons for POP3:

  • mail in FirstClass folders must be moved to the mailbox to be downloaded
  • only received messages in your FirstClass mailbox can be downloaded (sent messages do not download)
  • can be difficult to backup or transfer mail to another computer
  • The steps for downloading mail from FirstClass to Outlook are:

    1. Move mail currently in your FirstClass Mailbox to a folder.
    2. If you do not want to download the mail currently in you FirstClass Mailbox, you can create a new "temporary" folder and drag all mail currently in your Mailbox to the new folder.

Tip: To move mail from your Mailbox to a folder, highlight one email and from the Edit menu, click "Select All", then drag the selected email to the new folder.

      Things to note:

      • You could receive new mail during this process so watch for incoming mail and move it to the "temporary" folder if it come in.
      • Unread mail (emails with a red flag) will loose the flag once it's moved to a folder. If you need to keep track of your unread messages, create a second folder and drag all unread messages to it.

    3. Open any FirstClass sub-folder (to be downloaded to Outlook) and highlight all received messages in it and drag the mail into your Mailbox. See example picture below:
    4. Note: Again, sent email (has a To: in the name) can not be downloaded to Outlook. You can either keep your sent messages in the original folder or delete them along with the received messages once downloaded to Outlook.

      move message screen shot
    5. Go back to your Outlook window and click on the Send/Receive send and receive button button
    6. FirstClass email will start to download to your Outlook Inbox. Once the download is complete, select all the mail in the Outlook Inbox and drag it to the appropriate Outlook sub-folder (if you created sub-folders in step 1).

    7. Go back to FirstClass and delete downloaded email.
    8. You can either keep your sent messages in the original FirstClass folder(s) or delete them along with the received messages once downloaded to Outlook.

    9. Repeat steps 2 through 4 until you have downloaded each folder of mail from FirstClass to Outlook.
    10. Once you have your mail downloaded to Outlook and deleted from FirstClass, then open the temporary folder(s) (created in step 1) and drag all email back to your Mailbox.

Note: If you separated the read email from unread, move the unread mail back first, highlight it and from the "Message" menu select "Mark as unread; this will restore the red flag. Then drag back the read messages back to your FirstClass Mailbo (optional).
